American Herbalists Guild (AHG) Seeking Office Manager

 

Overview:

This Office Administration and Membership Support position provides direct administrative office support to the AHG Executive Director and the AHG Assistant Director. The Office Manager will deliver optimum productivity, alignment, and smooth functioning of all office-related assignments within time constraints to assure that deadlines are met.

Location: Asheville, NC: Local & remote candidates

Please note that the position is mostly remote but we do favor regional applicants with accessibility to the WNC area. The office hours are on Monday, Wednesday, and Friday from 10 AM-5 PM. The Office Manager is expected to attend and work at the Annual AHG Symposium every fall in-person.

Compensation:
  • Part Time (21 hour work week) Salary $18,800 annual 
  • As salaried staff, Office Manager receives up to 3 weeks PTO/vacation, and Holidays:
  • The office is closed for staff restoration an additional three weeks per yesr.
Responsibilities include (but are not limited to):

Office Administrative

  • Updates and maintains office calendar
  • Sends reminders for office reports and staff meetings
  • Takes notes at staff meetings listing action steps for upcoming projects
  • Manages and arranges payment of bills and handles purchases related to maintaining office with approval from a director
  • Oversees mail pickup and check deposits with office assistant
  • Creates monthly office report for retail
  • Maintains organizational purchase logs and receipt files
  • Manages the schedule and workflow of the AHG Office Assistant
  • Manages Office organizational Dropbox and Productivity Apps
  • Receives and compiles all staff reports from staff and passes onto Assistant Director for creation of monthly report for the Directors
  • Assists with Symposium logistics as necessary
  • Informs the Assistant Director of any and all concerns related to the day to day maintenance of the AHG Office

Member Management

  • Manages all AHG memberships through the CiviCRM database
  • Oversees quarterly membership campaigns
  • Coordinates all mailings pertaining to membership and outreach
  • Responsible for customer service via phone and email
  • Maintains all member related pages on AHG website
  • Oversees member benefits
Applicant Requirements:
The ideal applicant will have the following skills and experience-
  • Technology Skills: The Office Manager is responsible for maintaining office productivity. Proficiency with Apple Mac products, Gmail, Apple mail app, Database CRM management, Constant Contact, Microsoft Office, social media apps, and basic website maintenance is desired.
  • Communication Skills: The Office and Manager responds directly to member concerns and inquiries and is the main point of contact for various community events. They should possess excellent verbal and written communication skills necessary to interact with a wide range of people via phone and email.
  • Self-Motivated and Dependable: Must be able to work autonomously and problem solve, and seek guidance from others as needed. Ability to maintain and contribute to a cooperative and harmonious work environment.
  • Since the Office Manager is the central point of contact, maintaining regular office hours Monday, Wednesday and Friday from 10-5 PM is essential.
